Work Item Type–Specific Approvals

Work Item Type–Specific Approvals

Work Item Type–Specific Approval Visibility

Approval Path for Jira supports work item type–specific approval visibility. This feature allows approval definitions to be applied to specific work item types.
Approval definitions are displayed only on work items that match their defined scope.

Previously, approval definitions could be restricted using approval conditions so that they would not run on certain work item types. However, even when a definition was not applicable, it remained visible on the work item.

Work item type–specific approval visibility ensures that approval definitions are shown only where they are relevant.

Key Features

  • Approval definitions can be limited to selected work item types.

  • Only matching approval definitions are displayed on a work item.

  • Allow mapping work item types to global types.

  • Support both team-managed and company-managed projects.

  • All other existing space/project-specific approval behavior stays the same.

How to Enable Work Item Type Filtering

This setting must be enabled before using type-specific approval visibility.

Steps:

  1. Navigate to Approval Path Settings → General tab.

  2. Enable work item type filtering.

When enabled:

  • Work item type selection becomes available in approval definitions.

  • The Work Item Type Mapping feature is accessible.

  • Approval definitions are displayed based on work item type.

Work Item Type Mapping

Team-managed projects handle work item types independently. To use type-specific approvals, each team-managed project must be mapped to global work item types, while company-managed projects already use global types, so mapping is not required.

How to Map Work Item Types

  1. Go to Global Settings → Work Item Type Mapping tab.

  2. Select the space (project) you want to configure and click Configuration (⚙️)

  3. For each work item type in the project, select the corresponding work item type.

  4. Save the mapping.

Applying Work Item Type to Approval Definitions

Once the mapping is set:

  1. Go to the Definitions tab → Create new approval definition.

  2. In the Work Item Type dropdown:

    • Select a work item type to restrict this approval definition.

    • Or leave empty to make the definition accessible across all work item types.

  3. Save the approval definition.

Example Scenario:

  • A Project work item Email request is mapped to a global Task.

  • Approval definition is created with Work Item Type = Task.

  • Result: Definition appears for the Email request type of work items.

  • Work items mapped to other global types (e.g., Story) will not show this definition.

Leaving the Work Item Type empty makes the approval definition visible for all work items, regardless of mapping.
