How to Share Smart Links

How to Share Smart Links

Overview

Smart Links are embedded external links, such as YouTube videos, Google Docs, Jira tickets, or other supported services that appear as rich preview cards instead of plain URLs in Confluence.

Supporting Smart Links in externally shared pages makes collaboration easier for both internal teams and external stakeholders. When content is shared outside the organization (for example, with clients, partners, or vendors), users can understand and access related resources without needing additional context or navigation inside Confluence.

External users can see smart links and navigate to Smart Link content just like Confluence pages.

How to Share Smart Links Externally

  1. Create a Smart Link
Create a Smart Link in your Confluence space.

  1. Create an External Share
Open the External Share app and click Create External Share Link.

  2. Configure and Share
Configure the share link options and send the generated external share link to external viewer.

Smart Links cannot be shared independently. External Share is created at the Confluence page level, and Smart Links are only accessible when included within a shared page.

Navigation Tree Behavior in Shared Pages

Smart Links appear in the shared navigation exactly where they are placed in Confluence. This allows viewers of external shares to understand the full structure of the content at a glance.

Smart Links are also searchable across External Share, including:

  • Navigation tree search bar

  • Header search bar

Supported Smart Link Rendering

Smart Links in externally shared pages render the same way as they do in Confluence.

  • Smart Links that display content directly (inline/iframe) include:

    • YouTube videos

    • Google Docs

    • Google Sheets

    • Google Slides

    • PowerPoint (PPTX) files

    • Excel (XLSX) files

    • Jira tickets

    • PDF files

    • Confluence pages

  • Other Smart Links are displayed as standard preview cards with a link to open in a new tab, including:

    • Dropbox files

    • OneDrive files

    • webpages (URL)

Access to Smart Link content depends on the external service’s permissions and is not controlled by External Share for Confluence.
