How to Externally Share Jira Contents

Before start, Install External Share for Jira add-on from Atlassian Marketplace.

Refer to Get External Share for Jira document to install our add-on.

Getting Started

There are multiple ways to create an external link, depending on what you want to share.

  • Work Items (issues) can be shared directly from the Work item view.

  • Boards, Filters, Timelines, Attachments, and Redirects are created from the app menu.

The following sections explain each option in detail.

Access Based on User Role

Available features depend on your role in the organization when accessing the app menu.

  • Global admins
    Are redirected to the global settings, where they can manage app-wide configurations.

  • Project admins
    Can access and manage external shares available within their spaces.

  • Basic users
    Will be redirected to a page where they can view all of their external links and create new shares, based on their permissions.


Create an External Link from a Work Item (Jira Issue)

  1. Navigate to the Jira ticket you want to share.

  2. Select External Share from the activity bar or the actions menu.

  3. Click Create External Share to generate the link.

  4. A configuration window with a live preview will appear.

Create an External Link from the App Menu

  1. On the navigation bar, go to More → Apps → External Share.

  2. Click Create External Share.

  3. Choose a share type: Issue, Board, Filter, Timeline, Attachment, or Redirect.

  4. A configuration window with a live preview will appear.

  5. Click Create External Share to generate the link.

You can select Issue, Board, Filter, or Timeline to generate an external link.

Configuration and Live Preview

Once you create an external link using any of the methods above, a preview window opens.

Use the configuration tabs to customize access, permissions, and display options. Available settings may vary depending on the selected share type.


Share the External Link URL

After creating an external link, close the preview window.
In the list view, you will see the newly created external link along with its URL. The URL can be copied and shared with external users.

Share an External Link via Email

You can also share the link directly by email.

  1. Click Send via Email.

  2. Your default email client will open.

  3. Customize the recipients, subject, and message before sending.

You can use the Email Template option to format the default email content based on your needs.

For External Users

Depending on the configuration, external users may be able to:

  • View shared content such as work items (issues), boards, filters, or timelines

  • Edit work items components

  • Add comments or attachments

  • Update the ticket status

These permissions are fully configurable in Share Configuration.

Authenticated external users can access the shared Dashboard, where they can:

  • View shared content

  • Manage watch options

  • Track their own activity

By default, shared issues display the Issue Summary, Description, Status, Assignee, Reporter, and Components.
You can control which fields are visible in the Project Configuration.
