Approval / Consent action

One or more members of the selected Confluence group can vote to approve or reject. When the step is activated, all group members will receive a notification with a ‘call for action’. On page view, the user will see the accept and reject buttons. The decision cannot be changed. The only way to undo the decision is to ‘reset’ the ongoing approval path and start a new one. Every Confluence page participant can start or reset the approval process.

Notification action

All group members will be notified about the current progress. They might be interested in knowing the progress or result, but those people have no involvement in making the decision. Possible use cases:

  1. Used at the beginning of the approval process to notify team members about the new project proposal.

  2. Used as the last step in the approval process to notify the Confluence administrators about needed changes in Confluence options.

  • Number of votes required for the group step to pass (applied only in case of Approval or Consent action)
    The number of accepted votes that are required for the current group step to mark a step as completed successfully and move the approval process to the next step (if there is a next step) or complete the whole approval process successfully.

  • Number of votes required for the group step to fail (applied only in case of Approval or Consent action)
    The number of rejected votes that are required to mark the current group step as failed.
    For example, if there are 2 votes required for the group step to fail, then the first ‘Reject’ action won't stop progress. The step can still be completed successfully until the second ‘Reject’ action is cast.

Requiring comment on actions

If this checkbox is selected, the approver will be required to provide a comment when approving, rejecting, or abstaining from the approval decision on a page. This ensures that the reasons for decisions are clearly communicated, providing feedback for the assignee and keeping transparency in the approval process.

Exclude users from the group
You can search for users within the selected group and exclude specific users if needed.

Exclude the approval creator from the group
Exclude the creator of the approval from the group step.

Skip group if empty

If the group does not contain any users, the step will be skipped in the approval path.

Label condition

If configured, this step can be started only when the label condition is met.

  • Step level – If the condition isn't met, that step is skipped from the approval flow.

    To configure a condition, select whether pages should have any or all of the specified labels, then choose the labels using the search field.

 

Group Step Display

There is an option to expand the group step to display users, with the default view showing a compact version. When you hover over the person icon, a tooltip saying Click to view members appears, allowing you to check the group m

embers.
