Group step

Action types

Approval / Consent action

In this step, one or more members from a Jira group can vote to either approve or reject. Once activated, a notification is sent to all group members, asking them to take action. On the page, a user is presented with ‘accept' and 'reject' buttons.

It's important to note that once a decision is made, it remains final, and the only way to roll it back is to delete the current approval and start a new one. Only a user with appropriate permissions can delete or archive approval.

Notification action

All group members will be notified about current progress. They might be interested in knowing progress or results, but those people have no involvement in decision-making. Possible use cases:

  1. Used at the beginning of the approval process to notify team members about the new project proposal.

  2. Used as the last step in the approval process to notify the Jira administrators about needed changes in the Jira structure.

Additional configuration

  • Number of votes required for the group step to pass (applied only in case of Approval or Consent action)
The number of accepted votes that are required for the current group step to mark the step as completed successfully and move the approval process to the next step (if there is a next step) or complete the whole approval process successfully.

  • Number of votes required for the group step to fail (applied only in case of Approval or Consent action)
The number of rejected votes that are required to mark the current group step as failed.
For example, if there are 2 votes required for the group step to fail, then the first ‘Reject’ action won't stop progress. Step still can be completed successfully until the second ‘Reject’ action is cast.

Exclude creator

As the creator of the definition, you can exclude yourself from the approvers, this way other members of the team will have to participate for the path to complete.

Skip the group from the approval path if it doesn't contain any users

When checked the group will be skipped from the approval path without displaying the message about an empty group.

Issue watchers notification

This functionality empowers easy management of the update notifications for approval paths sent to issue watchers. It provides the ability to prevent the reception of unnecessary notifications.

Create step condition

This feature allows the inclusion of a specific step in the approval process if it aligns with a condition defined in Jira Expressions. Once selected, the step will only be added to the approval workflow solely when the condition is fulfilled.

Should the condition not be met or encounter an error, the step will not be part of the approval process. Find more regarding conditions in our documentation.
